1. About ContactVault
ContactVault is a specialized email service for applicants. It provides applicant-side communication infrastructure that lets applicants enter recipient addresses themselves, send a message and optional résumé/CV data, use anonymity and anti-abuse guardrails, and receive replies in an applicant inbox. ContactVault is not an employer platform, recruitment marketplace, or unsolicited commercial outreach service. 2. Definitions
- Service: the ContactVault website, APIs, applicant inbox, and related features.
- Applicant: a user who submits content via the Service.
- Recipient: the email address entered by the Applicant, typically a prospective employer or recruiting contact.
3. Eligibility & Accounts
- You must be legally capable of entering into these Terms and comply with applicable law.
- Some features require a signed cookie or token for account or session access. You are responsible for keeping credentials confidential.
4. Using the Service
- Purpose. The Service is used by Applicants to send self-initiated messages and optional CV data to a Recipient email address they enter. ContactVault provides verification, anti-abuse controls, applicant inbox access, anonymity guardrails, and reply handling around that communication.
- Applicant inbox creation. If you use the Service with a new email address, ContactVault may automatically create an applicant inbox and associated reply mailbox for that address so you can sign in, access Drafts/Sent/Inbox features, and receive employer replies.
- Limits of anonymity. ContactVault provides technical measures intended to support anonymous first contact. ContactVault cannot guarantee that a Recipient or any third party will not infer, identify, or associate your identity based on the content, details, or other information that you choose to submit.
- Verification & anti‑abuse. To keep the Service reliable, ContactVault enforces proof‑of‑work, rate‑limits, minimum fill time, honeypots, automated input-security checks, and IP-based burst control.
- Size & format. Submissions must respect form limits published in the interface. Oversized or unsupported content can be rejected.
- Delivery. We use email delivery providers to attempt delivery. We do not guarantee Recipient acceptance, inbox placement, or response.
- Unsubscribe. Recipients of ContactVault system emails can unsubscribe from further applicable email types. Suppression entries are maintained to enforce this.
- Abuse handling. ContactVault may process abuse reports, unsubscribe requests, and related operational follow-up where required for operations, safety, or legal compliance.
5. Content Rules
- You are solely responsible for your content. This includes any information that may reveal or help infer your identity, contact details, CV history, or other personal circumstances. Do not submit illegal, harassing, hateful, sexually explicit, deceptive, malware, or spam content.
- ContactVault uses automated and/or manual moderation to block or remove content, and notifies relevant parties where required by law.
- By submitting content you grant us a worldwide, non‑exclusive, royalty‑free license to store, encrypt, process, transmit, and display it as necessary to provide the Service. You retain your rights to your content.
6. Allowances and Limits
- Use of the Service may be limited by technical quotas, send caps, and verification thresholds.
- ContactVault may adjust such limits prospectively for security, abuse prevention, and operational reliability.
- Abuse or breach of these Terms voids allowances and may lead to suspension.
The exact limits that apply in any given operating mode are defined by the currently provided product interface and the technical safeguards running at that time.
7. Operational Documentation
- ContactVault may document security- and operations-relevant events where needed for technical accountability and legal compliance.
- Mandatory statutory retention and evidence obligations remain unaffected.
8. Third‑Party Services
The Service uses technical providers such as hosting and email delivery services. Their use is subject to their own terms. We are not responsible for their independent outages or actions, but we aim to choose reputable providers.
9. Privacy
Our processing of personal data is described in our Privacy Policy. By using the Service, you acknowledge that processing. Data deletion requests can be submitted via /gdpr/delete and are handled through a verification/review workflow.
10. Intellectual Property
- The Service, including software, design, and trademarks, is owned by us or our licensors and is protected by law.
- Except for the limited rights to use the Service as described here, no rights are granted. Do not copy, modify, reverse engineer, or create derivative works of the Service.
11. Acceptable Use
- Do not use the Service to send spam, mass mail, unsolicited commercial contact, lead-generation outreach, or messages without a legitimate basis.
- Do not attempt to bypass rate‑limits, proof‑of‑work, or security measures.
- Do not probe or disrupt our infrastructure, scrape at scale, or misuse unsubscribe, reply, or report endpoints.
- ContactVault may suspend or terminate access for violations.
12. Disclaimers
The Service is provided on an “as is” and “as available” basis. We disclaim all warranties to the extent permitted by law, including implied warranties of merchantability, fitness for a particular purpose, and non‑infringement. We do not warrant uninterrupted, error‑free, or immune‑to‑spam‑filters operation.
13. Limitation of Liability
To the extent permitted by law, our aggregate liability for all claims related to the Service is limited to EUR 50. We are not liable for indirect, incidental, special, consequential, or punitive damages, loss of profits, data, goodwill, or business interruption.
14. Indemnity
You will defend and indemnify us against claims arising from your content or your misuse of the Service, except to the extent caused by our breach of these Terms.
15. Termination
You may stop using the Service at any time. ContactVault may suspend or terminate access with notice where reasonably possible if you breach these Terms, abuse the Service, or if operation becomes impracticable for legal or security reasons. Certain sections survive termination, including Content Rules, IP, Disclaimers, Liability, and Governing Law.
16. Changes
ContactVault may update these Terms to reflect operational or legal changes. Material changes will be announced within the Service. The current version is available at /en/terms.
17. Governing Law & Disputes
If you are a business user, these Terms are governed by German law and the exclusive venue is Ingolstadt, Germany. If you are a consumer, the mandatory protections of your habitual residence apply, and you may bring claims in your local courts. Information on consumer dispute resolution is available at /en/vsbg.
